Matt Ward Vocal studios (MWVS) regards customer privacy as an important part of our relationship with our customers. The following privacy policy applies to all Matt Ward Vocal Studio users, and conforms to Internet privacy standards.

Collection of Information

In order to use the Matt Ward Vocal Studio website, we may require information from you in order to provide the best service possible.

 

All correspondence may also be collected and stored, particularly in regard to sales, support and accounts, including Email.

Any information collected by MWVS is collected via correspondence from you or your company. This may be via the telephone, Email, mail, fax or directly through our website.

 

Free Voice Assessment

When you complete our free Discover Your Voice assessment, we collect your first name, email address, age bracket, your answers to the assessment questions and your lesson preferences. This includes whether you have recently had voice pain, ongoing hoarseness, a sudden change in your voice or voice loss. If you are under 18, we also collect your parent or guardian's email address and their permission. The optional sing-along plays a guide track only; we do not record your voice.

 

By completing the assessment, you agree to us collecting this information, including your answers to the voice health questions.

We use this information to show you your results, email you a copy with your starter exercises, send up to two follow-up emails about your assessment, recommend a coach, and help your coach prepare for your first lesson. If you choose to, we'll also send occasional vocal tips and studio news, and you can unsubscribe at any time.

 

The voice health questions are used only so we don't recommend exercises when you should see a health professional first. The assessment is a guide, not a medical assessment. For under 18s, a copy of the results is sent to the parent or guardian.

Your answers are stored securely in our website system and can only be seen by Matt Ward. We don't sell or share them. We keep assessment results for 12 months and then delete them. To see, correct or delete your results at any time, email info@mattward.com.au.

 

Use of Collection Information

Any details collected from MWVS customers is required in order to provide you with our products and/or services, and a high level of customer service.

 

Correspondence is recorded in order to provide service references, and to assist in our staff development.

 

Storage of Collected Information

The security of your personal information is important to us. When you enter sensitive information (such as credit card numbers) on our website, we encrypt that information using secure socket layer technology (SSL). When Credit Card details are collected, we simply pass them on in order to be processed as required. We never permanently store complete Credit Card details.

We follow generally accepted industry standards to protect the personal information submitted to us, both during transmission and once we receive it.

Access to Collected Information

Orders

If you purchase a product or service from us, we may request certain personally identifiable information from you. You may be required to provide contact information (such as name, Email, and postal address) and financial information (such as credit card number, expiration date).

We use this information for billing purposes and to fill your orders. If we have trouble processing an order, we will use this information to contact you.

 

Communications

MWVS uses personally identifiable information for essential communications, such as Emails, accounts information, and critical service details. We may also use this information for other purposes, including some promotional Emails. You will be notified when your personal information is collected by any third party that is not our agent/service provider, so you can make an informed choice as to whether or not to share your information with that party.

 

Photos, Video, Recordings & Social Media

Recording lessons for learning. Lessons may be audio or video recorded so you can practise at home and track your progress. Students are welcome to record their own lesson on their own device for personal practice. Lesson recordings are for personal use only and must not be shared or posted publicly without the agreement of MWVS and anyone else who appears in them.

Recordings kept by MWVS. Any lesson recordings we keep are stored securely, are only seen by MWVS staff and coaches for teaching purposes, and are deleted when they are no longer needed. You can ask us to delete a recording at any time.

 

Photos and video for our website and social media. From time to time we may take photos or video during lessons, workshops, recitals and performances to share on our website, social media (such as Instagram, Facebook, TikTok and YouTube) and in promotional material. We will only publish images or recordings in which you can be identified with your permission. For students under 18, we need the permission of a parent or guardian, and we will not publish a child's full name, school or other personal details alongside their image.

Testimonials.

If you share a review or testimonial with us, we may publish it with your first name, and with your photo only if you agree.

Changing your mind. You can withdraw your permission at any time by emailing info@mattward.com.au. We will remove the content from our website and social media accounts as soon as reasonably possible. Please note we cannot control copies that others have already shared or downloaded.

Third Parties

MWVS may at its discretion use other third parties to provide essential services on our site or for our business processes. We may share your details as necessary for the third party to provide that service. For example, our website and voice assessment results are hosted by Wix, and lesson bookings are managed by Appointy.

 

These third parties are prohibited from using your personally identifiable information for any other purpose.

MWVS does not share any information with third parties for any unknown or unrelated uses.

 

Legal

We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or comply with a judicial proceeding, court order, or legal process served on our Website.

Delivery Policy

After booking online, you will receive an email confirmation from APPOINTY containing your order details & confirmation of your lesson time(s) (if you have provided your email address).

We will normally confirm receipt of your order within a few minutes of ordering.

Refund & Returns Policy

Students must give 24hours notice to cancel or change a booked lesson or they will be charged the full fee for that lesson. Lessons can be changed or cancelled directly online or phone matt ward vocal studios on 0416 271 018 within 24hours. Refunds will only be offered if no mutually agreed lesson time can be re arranged.

All students will receive sms & email reminders of lessons. No refunds or credits given for no shows or cancellations after the 24hour period. If booking a lesson within 24hrs please ring to confirm.
